Students who test at the ODS Testing Center must adhere to the following procedures. Please carefully review the detailed information below:
Eligibility & General Information
- ODS proctors tests only for in-person classes—not for virtually proctored or take-home tests.
- Communicate with instructors before requesting testing space. Not all classes take tests at ODS.
- Testing at ODS may occur in individual rooms or an overflow classroom. Regardless of location, all testing accommodations will be provided.
Scheduling
- Submit testing requests at least 3 business days in advance of the test date (this excludes weekends/holidays). No late requests are accepted.
- Schedule all tests, including finals, early in the semester via the ODS Online Portal (see tutorials for information on scheduling tests or visit the ODS Testing Center).
- Testing requests are scheduled first-come, first-served. If your request is denied because the testing center at capacity, notify your instructor immediately to make alternative arrangements. Failure to do so may result in loss of accommodation(s).
- Instructors are not required to provide accommodations without sufficient notice.
- Regular semester test notice requirement: 3 business days
- Final Exam notice requirement: Monday before Dead Week by 4:45 PM
Test Timing
- Tests are scheduled at the same time as the class unless there is a time conflict with another class or ODS hours of operation.
- When flexibility is necessary, ODS schedules tests close to the original test time (starting the test earlier than the class when student class schedule permits).
- Test times are not changed due to personal preferences, employment, or extracurricular activities.
- Do not make travel arrangements until you receive email approval for testing requests, including finals.
Check-in & Behavior
- Check-in via the QR code posted on Testing Center doors. Wait in the lobby to be called.
- Do not sit on the floor, block elevator, or block door access.
- Late arrivals will have time deducted equal to tardiness or you may not be permitted to take the test.
- Interact with staff in a respectful and courteous manner. Disrespectful, disruptive, or inappropriate behavior is not tolerated and may result in your removal from the Testing Center and/or referral for disciplinary action.
Permitted/Prohibited Items & Testing Room Procedures
- No personal electronic devices (phones, laptops, smartwatches, earbuds/headphones, etc.) are allowed. Save needed materials to cloud storage (OneDrive, Google Drive, or UA Box) to be accessed from ODS desktop computers.
- Small devices such as cell phones, earbuds, and smartwatches must be placed in lobby storage upon entering the Testing Center and must be turned off or set to “do not disturb.”
- Have test materials (formula sheets, calculators, etc.) ready to show staff at check-in.
- Remove all headwear (hats, hoodies, beanies, scarves, etc.), except for religious coverings.
- Larger personal items must be placed in the hall outside testing rooms.
- Accessing personal belongings during the test may be considered academic misconduct.
- Snacks/beverages are allowed in testing rooms at staff discretion.
- No tobacco or vape products are allowed in testing rooms.
- Staff monitor all rooms and computer use in real-time. Suspicious behavior is reported to instructors.
Cancellations & Modifications
- If your reserved testing space is no longer needed, cancel the request.
- Test requests can be modified if testing dates, times, or accommodations change.
- Cancel or modify test requests in the ODS Online Portal or by emailing odstesting@ua.edu.
Procedures for Make-up Tests
- With instructor approval, make-up exams may be allowed for illness, emergency, injury, or flexible attendance accommodations.
- Email your instructor for permission to make-up a test. Once permitted, forward instructor approval and your make-up request to odstesting@ua.edu. Include the class and date of the missed exam.
- Make-up tests at ODS are scheduled according to the instructor’s Alternative Testing Agreement. Make-ups are offered during department make-up dates, Dead Week/Study Week, or the Friday after the missed exam.
- No make-up tests are allowed during Finals Week.
Final Exams
- Request final exam space at the start of the semester.
- The Testing Center reaches capacity as early as 6 weeks before finals.
- Testing requests are scheduled first-come, first-served. If your request is denied because the testing center at capacity, notify your instructor immediately to make alternative arrangements. Failure to do so may result in loss of accommodation(s).
- Deadline: Monday before Dead Week/Study Week by 4:45 PM.
- You must take finals at ODS on the date scheduled by the UA Academic Calendar. You must request testing space during the published date and time of the course final.
- Once space capacity is reached for a specific date, requests will be denied.
- Whenever possible, the requested class time will be honored; however, to proctor the maximum number of accommodated students, the requested time may change. Time changes will be reflected in the ODS Online Portal and in the approval email.
- Testing at ODS may occur in individual rooms or an overflow classroom. Regardless of location, all testing accommodations will be provided.
- No final exams are proctored at ODS during Dead Week/Study Week.
- Missed finals are made up during the Registrar’s Deferred Final Schedule with written instructor approval.
